Full Time Administrative Assistant / Front Office Coordinator

Position Overview 

The Administrative Assistant / Front Office Coordinator serves as a central member of the administrative team and helps ensure the smooth day-to-day operation of the school. This position requires strong organizational and communication skills, excellent attention to detail, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced educational environment. 
 
The successful candidate will be highly collaborative, proactive, and comfortable interacting with students, families, teaching staff, specialists, transportation providers, and outside agencies. 
 
Desired Qualifications 
- Prior experience in an administrative assistant, office manager, school office, or related role strongly preferred 
- Experience working in an educational setting preferred 
- Strong organizational skills and ability to prioritize multiple tasks effectively 
- Excellent written and verbal communication skills 
- Strong attention to detail and accuracy 
- Professional demeanor and strong interpersonal skills 
- Ability to maintain confidentiality, boundaries, and exercise discretion 
- Strong technology skills including Google Workspace, Microsoft Office, spreadsheets, and web-based applications 
- Ability to work both independently and collaboratively

Primary Responsibilities 
  • Serving as the primary receptionist and welcoming students, families, visitors, and vendors to campus 
  • Managing incoming calls, emails, deliveries, and general front office communication 
  • Maintaining student records, attendance data, enrollment information, and other student-related documentation 
  • Supporting student enrollment and admissions-related clerical processes 
  • Scheduling and coordinating staff meetings, team meetings, and campus events 
  • Maintaining calendars and supporting communication across departments 
  • Overseeing and supporting the campus safety committee and related documentation and compliance tasks 
  • Managing and tracking the front office budget and related purchasing needs 
  • Maintaining an organized, welcoming, and efficient front office environment 
  • Providing clerical and administrative support to teaching staff, specialists, and administration as needed 
  • Assisting the administrative team with operational and administrative projects 
  • Supporting school-wide initiatives, events, and communication efforts 
  • Performing other duties as assigned
