Full Time Administrative Assistant / Front Office Coordinator
Position Overview
The Administrative Assistant / Front Office Coordinator serves as a central member of the administrative team and helps ensure the smooth day-to-day operation of the school. This position requires strong organizational and communication skills, excellent attention to detail, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced educational environment.
The successful candidate will be highly collaborative, proactive, and comfortable interacting with students, families, teaching staff, specialists, transportation providers, and outside agencies.
Desired Qualifications
- Prior experience in an administrative assistant, office manager, school office, or related role strongly preferred - Experience working in an educational setting preferred - Strong organizational skills and ability to prioritize multiple tasks effectively - Excellent written and verbal communication skills - Strong attention to detail and accuracy - Professional demeanor and strong interpersonal skills - Ability to maintain confidentiality, boundaries, and exercise discretion - Strong technology skills including Google Workspace, Microsoft Office, spreadsheets, and web-based applications - Ability to work both independently and collaboratively - Warm, flexible, solution-oriented approach - Commitment to supporting neurodiverse learners and a positive school culture
Primary Responsibilities
Serving as the primary receptionist and welcoming students, families, visitors, and vendors to campus
Managing incoming calls, emails, deliveries, and general front office communication
Maintaining student records, attendance data, enrollment information, and other student-related documentation
Supporting student enrollment and admissions-related clerical processes
Scheduling and coordinating staff meetings, team meetings, and campus events
Maintaining calendars and supporting communication across departments
Overseeing and supporting the campus safety committee and related documentation and compliance tasks
Managing and tracking the front office budget and related purchasing needs
Maintaining an organized, welcoming, and efficient front office environment
Providing clerical and administrative support to teaching staff, specialists, and administration as needed
Assisting the administrative team with operational and administrative projects
Supporting school-wide initiatives, events, and communication efforts
Performing other duties as assigned
